Overview of Hiring a Student Worker

Follow the steps below to hire someone in Workday.

Instructions for the Initiation of Hiring a Student Worker

  1. Go to your inbox to select the Hire task for the student you would like to hire.

  2. Hire Date: Enter the employee’s first day of work.

  3. Hire Reason: Select the reason for hire.

    1. if the student has not worked on campus before, select “Hire Employee > New Hire”

    2. If the student has worked on campus before, you will have the option to “add additional job"

  4. Job Details: Enter or confirm the following:

    1. Job Requisition: This will pre-populate, but it is editable.

    2. Job Profile: This will pre-populate, but it is editable.

    3. Location: This will pre-populate, but it is editable.

    4. Pay Rate Type: This will pre-populate, but it is editable.

  5. Additional Information: Enter or confirm the following:

    1. Job Title: Change this field to match the Business Title.

    2. Business Title: This will pre-populate from the las time that you entered it.

    3. Default Weekly Hours: This will pre-populate.

    4. Scheduled Weekly Hours: This will pre-populate.

  6. Click Submit.

  7. You will then be prompted to confirm organization assignments for the student. Click Open to confirm.

    1. Company: EM Emerson College.

    2. Cost Center: Will pre-populate from the Job Requisition, but can be edited.

  8. Other: Only Position Type is required, which will pre-populate from the Job Requisition if it was previously selected. If this is still blank, please select if this student will be working via FWS, EME, or a grant.

  9. Click Submit.

What Happens Next

The task will route to department HCM Cost Center Approver.

The Hire will route to you to begin the Onboarding process (see the “Onboarding Setup” job aid for more information).
