Overview of Offer for Faculty

Follow the steps below to complete the offer process for a candidate.

Instructions for Initiating an Offer

  1. Access the Offer task in your inbox.

  2. Details: Click into the form to fill out the following:

    1. Hire Date: Indicate the candidate’s expected first day of employment.

    2. Hire Reason: Select from the options.

    3. Location: Pre-populates from the job requisition details.

    4. Document language: Pre-populates.

  3. Details: Click into the next part of the form to fill out the following:

    1. Job Profile: Pre-populates from the job requisition.

    2. Business Title: Indicate the intended business title for this candidate. This needs to match the Job Posting Title, which is visible at the top of the inbox task.

  4. Click Next.

  5. Compensation: Pre-populates from the job requisition details but it is editable based on the offer negotiations for this specific candidate. Click into the different parts of the form to modify any details.

  6. Click Next.

  7. Review all information. Click Submit.

What Happens Next Post: Initiating an Offer

If there are any changes to make to the hire’s compensation between the offer and the job requisition, the offer will go to Budget for approval.

If the change in compensation between the offer and the job requisition is greater than 5%, it will also go to the college’s Budget Office for review.

After the approval(s), the Dean will receive a follow-up task in their inbox to generate an offer letter.

Instructions for Generating a Full Time Factly Offer Letter - Deans

  1. For full-time faculty positions, an offer letter draft task will route to the Dean’s inbox.

  2. Within the offer letter template, any fields indicated by [green brackets] should be customized with the appropriate information.

    1. After customizing the fields in green, be sure to change the color of any green text to black using the text editor.

      1. Within the template, select CTRL + A (Command + A on Macs) on your keyboard and change the color of all text to black.

  3. After the offer letter has been reviewed and the necessary fields customized, click Submit.

What Happens Next Post: Generating a Full Time Factly Offer Letter - Deans

Once the offer letter is submitted, the candidate will be asked to review via their Candidate Home account, and once they confirm within their candidate account, the offer will route to the Recruiter to make a final offer decision.

Instructions for Making an Offer Decision

  1. An Offer task will be available in the inboxes of the Recruiter, respectively.

  2. Select at the bottom of the page either:

    1. Move Forward: Select the next stage for this candidate.

    2. Decline: Select why the candidate is being declined.

What Happens Next?

If moving a candidate forward:

  • If Renegotiate Offer, the process will route back to the Dean to revise the Offer details. Once revised, the and the candidate will then have a task to review via their Candidate Home account.

  • If Ready for Hire, the Recruiting process for the candidate will complete.

  • If Background Check, a background check task will route to the inbox of the Recruiter.
