Approve Time - Managers of Student Workers

Overview of Approving Time for Student Workers

Prompt approval of time entries is critical to student workers being paid on time.

Student workers must enter hours by Friday every week, and supervisors have until 12PM EST on Monday to approve.

Instructions for Approving Time for Student Workers

  1. In Workday, access your inbox in the upper-right corner of the screen.

  2. Access the Time Entry inbox task for the employee on the left side of the page.

  3. Under the Daily Totals table, review the hours the student has entered for the week.

  4. After reviewing the time entries, click one of the following buttons at the bottom of the page:

    1. Approve: Approves the student worker’s timesheet for the week.

    2. Send Back: Sends the student worker’s timesheet back to them due to a needed correction or error in the time entries. If choosing to send back, a pop-up will appear asking you to provide a Reason for the send back.

      1. Click Submit on the pop-up after providing a reason to the student worker for why you are sending back their timesheet.

      2. After sending back the timesheet, the student worker will receive a notification to login to Workday and correct their time. They will need to access their Workday inbox to revise their time entry and resubmit for approval.
