Federal law requires all employees to complete a valid Form I-9 no later than three business days from their employment start date. Please read the instruction section based on whether you are:
Hybrid or In-Person Employees
Step 1 Workday
1. Log in to Workday and access your inbox tasks
2. Select the "Complete Form I-9" task
- Fill out all required fields as indicated with a red asterisk (Note: all fields are editable, but will be prepopulated)
- Last name, first name, address, city or town, state, zip code, date of birth, date of birth, social security number, email address, telephone number, citizenship status
- Under "Signature of Employee" select the "I agree" checkbox
- Select the appropriate checkbox if you used a preparer and/or translator
- Fill out the "Preparer and/or Translator" section if applicable
- Select "Submit"
Step 2 Verifying Documents
After completing step 1 in your Workday inbox, federal law requires all employees to complete a valid Form I-9 no later than three business days from their employment start date.
Boston-Based Employees
Please sign up for your I-9 appointment and bring the required documents to your appointment. If you are unfamiliar with what documents to bring, review the list of acceptable documents prior to your appointment (or just bring everything and we'll take what we need!).
California-Based Employees
Please contact Kenny Pollone (kenny_pollone@emerson.edu) or Lis Komae (lis.komae@emerson.edu) at the Emerson Los Angeles campus to coordinate an appointment.
Remote Employees
Federal law requires all employees to complete a valid Form I-9 no later than three business days from their employment start date. Because the College employs individuals in various locations across the United States, we understand it may not be possible for the employee to travel to an Emerson College office location to complete their Form I-9.
Location Options
Remote employees who cannot travel to an Emerson College office location must travel to a college or university's Human Resources department near their home. Emerson HR representatives will coordinate an appointment between you and a nearby institution. Please reach out to hr@emerson.edu to indicate you need the remote option.
California Area: If you are within a reasonable distance of Emerson’s Los Angeles campus, please contact Kenny Pollone (kenny_pollone@emerson.edu) or Lis Komae (lis.komae@emerson.edu) for staff, and Mikhail Gershovich (mikhail_gershovich@emerson.edu) for faculty at the Emerson Los Angeles campus to coordinate an appointment.
Remote I-9 Completion Process
Once you have coordinated your location and appointment time:
- Print the I-9 Form. Emerson College's information is prepopulated.
- Complete Section 1. Write legibly and only complete Section 1 at this time.
- Review the list of acceptable documents (listed on page 2 of the I-9 form)
- Bring your acceptable documents (must be originals, no copies) to your coordinated appointment. The institution's representative will complete Section 2 of the form.
- Upon completing Section 2, you will scan a copy of the I-9 and a copy of the documents used to fill out Section 2 and email them to hr@emerson.edu.
- Emerson HR will upload your documents to your employee record in Workday and remove the task in your Workday inbox
